Australian Electoral Commission

Chartertech has been supporting the Australian Electoral Commission (AEC) since the implementation of its TechnologyOne environment providing data migration and configuration activities, budget management implementation including training delivery, and ongoing system administration support.

Our achievements

Chartertech supported the Australian Electoral Commission (AEC) to undertake data migration and configuration activities for its newly implemented TechnologyOne environment, including support for the integration of Aurion and Expense8 platforms. As part of works performed, Chartertech supported the AEC with migration and management of financial, contracts, sourcing, content management, and asset modules within TechnologyOne.

Chartertech has continued providing ongoing system administration support, as well as configuration support providing additional system functionality and enhancements. This support has included program and change management activities, end-user training and provision of training materials.

For the 2022 federal election, Chartertech developed a suite of dashboards and reports to support budget management during the election event.

The solution

Chartertech maintains an ongoing engagement with the AEC providing integrated system administration and configuration support.

  • Chartertech implemented a number of reforms to Aurion integration procedures to remove pre-configured errors or limitations within the TechnologyOne Government configuration including:
    • Resolving user account and privileges issues limiting the deployment of Single Sign-On capabilities.
    • Updating Aurion integration to improve the automation of user onboarding and termination, including organisational structure (chart) and position details.
    • Chartertech staff developed a TechnologyOne-based reporting solution that integrated TechnologyOne financial ledger, Aurion human resources volume metrics, and business outcome volume metrics into a TechnologyOne Data Model and underpinning data warehouses.
  • Chartertech has configured additional functionality within the AEC including the configuration of budget models, development and delivery of training for new users, and provision of system administration documentation.
  • Chartertech created a series of dashboards and reports to support election budget management for the 2022 federal election. This has involved the migration of data from a variety of separate systems, including bespoke election management systems, and the integration of this data into a comprehensive data set.
  • Chartertech continues to create and document enhancements and provide upskilling of AEC key resources. Chartertech strongly believes in bringing our clients along for the journey and enriching their existing skillsets. We partner with our clients rather than fill roles.
  • A key role that Chartertech performs is full end-to-end testing and documentation during release upgrades. This provides us with the opportunity to analyse existing/changed business processes against newly released functionality from TechnologyOne. This forms the basis of updating the UAT test scripts we have developed for AEC. Testing is then performed on behalf of AEC, and feedback is provided to the core FMIS team, and fixes are implemented where possible and applicable. Existing enhancements requests that were previously placed on hold are also revisited for viability.
